Site Adminsitrator

Description:   The Site Administrator is to provide both existing and potentially new residents with and impeccable level of customer service. They will ensure that customers receive the best service possible through processes established by Northview Apartment REIT. 



  • Carry out the leasing and rental application process as per in place procedures
  • Execute the signing of all tenancy agreements, schedules and addendums to the agreement. Notify all applicants of the landlord’s decision (approval or decline) of the rental application
  • Along with management or site staff members, be involved with residents and the company as a whole
  • Assist in an administrative capacity on specific tasks, which will not interfere with the timely and efficient servicing of rental inquiries
  • Fill out and maintain a consistently accurate weekly rental traffic reports
  • Regularly inspect upcoming availability prior to showing same two potential residents
  • Ensure show suites are maintained “move in ready” in condition
  • Assist in the completion of market rent studies as determined from time to time by regional manager
  • Understand and acknowledge the competition in surrounding buildings
  • Provide administrative support to the site staff and Regional Manager as requested and as directed by the Regional Manager
  • In the renting of all suites, your mandate is to maximize revenue for the Corporation
  • Always strive for maximum rental rates with zero vacancy
  • Carry out other duties and procedures related to the marketing, rental and administration of suites as may be a signed from time to time
  • Maintain an orderly office area
  • Return email and voice messages received from prospective residents during the same business day; all messages left after closing must be returned the next morning
  • Professionally and courteously handle all telephone and 'walk-in' inquiries from prospective residents
  • Encourage appointments or viewings with all qualified inquirers

Administration and Resident Relations:

  • Maintain an orderly office area
  • Execute on “Take a payment” and Rent Collections protocols in an effective manner
  • Facilitate and coordinate work completion in building common areas and suites via building maintenance staff and 3rd party service providers.
  • Ensure building and exterior perimeter cleanliness and upkeep are maintained at all times
  • Be involved with residents and the company as a whole, along with management and site staff
  • Execute all administrative specific tasks such as maintaining logs, records, databases, etc. as related to building operations
  • Assist in maintaining a high level of client satisfaction and public relations through all forms of communications with the residents
  • Communicate with the Regional Manager, team members and site staff on an ongoing basis
  • Maintain goodwill of customer during service period and promote the organization to existing and potential customers
  • Work with the team to recommend modifications for service improvement, based on results of information obtained from customers
  • Assist team in assessing 3rd party service performance and customer satisfaction
  • Other duties as assigned


  • College Diploma in Business Administration
  • Knowledge of the rental/leasing industry (one year experience) and knowledge of the Residential Tenant Act is preferred
  • Professional in appearance and mannerisms
  • Strong communication and interpersonal skills

  • Proficient with computer software, specifically Word and Excel
