Site Administrator

We are looking for a Site Administrator to join our Residential Operations team in Iqaluit, NU. Reporting to the Operations Manager, you will provide general support on a wide scope of administrative responsibilities and assist residents or potential residents at a local office. This position ensures that customers receive the best service possible through processes established by Northview.

What you will do:

  • Leasing:
    • Carry out the leasing and rental application process as per procedures in place
    • Execute the signing of all tenancy agreements, schedules, and addendums to the agreement. Notify all applicants of the landlord's decision (approval or decline) of the rental application
    • Along with management or site staff members, be involved with residents and the company as a whole
    • Assist in an administrative capacity on specific tasks, which will not interfere with the timely and efficient servicing of rental inquiries
    • Fill out and maintain a consistently accurate weekly rental traffic reports
    • Regularly inspect upcoming availability prior to showing to potential residents
    • Ensure show suites are maintained "move in ready" in condition
    • Understand and acknowledge the competition in surrounding buildings
  • Administration and Resident Relations:
    • Maintain an orderly office area
    • Execute all administrative specific tasks such as maintaining logs, records, databases, etc. as related to building operations
    • Assist in maintaining a high level of client satisfaction and public relations through all forms of communications with the residents
    • Communicate with the Regional Manager, team members, and site staff on an ongoing basis
    • Maintain goodwill of customer during service period and promote the organization to existing and potential customers
    • First point of contact for the Iqaluit regional office providing excellent customer service.
    • Creating purchase order for vendors as requested from other staff members and vendors.
    • Monitoring the accounts payable email address daily.
    • Maintain the accounts payable folders in SharePoint daily.
    • Review invoices for cost coding, authorization of expenditure and accurate recording.
    • Process invoices into payscan for payment in a timely manner.
    • Preparing A/P reports and chair the weekly A/P meetings.
    • Setting up vendor accounts.
    • Responsible for quality customer service for vendors.
    • Maintain an orderly office area.
    • Manage of office inventory and supplies.
    • Receiving and sending mail and courier items.
    • Along with management or site staff members, be involved with residents and the company as a whole.
    • Monitoring the Nunavut Communities email address and creating purchase orders as required.
    • Fill in for Customer Service Manager as required, answering the phone taking maintenance requests and creating maintenance work orders.
    • Other administrative duties as assigned by the Operations Manager.

What you will bring:

  • Previous education or combination of experience in accounting or finance is considered an asset;
  • Advanced proficiency with Excel and Word is required;
  • Strong and proven attention to detail;
  • Proven organizational skills, with an ability to work well under with high volumes under strict timelines;
  • Strong team player and exceptional communication skills for training and team leadership;
  • Excellent interpersonal skills combined with the ability to interact effectively with senior management;
  • Proven ability to work independently and effectively with minimal supervision.
